C&LL Position

Educational visits should be an appropriate and valuable means of delivering the curriculum and raising standards.  The C&LL guidance and procedures are set out in the document Educational Visits and its appendices.  The document requires schools to have a trained Educational Visits Co-ordinator to oversee educational visits and provide a contact with the C&LL.  The DfES document Health and Safety of Pupils on Educational Visits and its supplements are the national guidelines on any matter not covered by local advice.

Procedures:

Educational Visits is the policy, procedures and guidance document with information about approval of visits, categories of risk, risk assessment, other visit considerations and guidance on specific visits.  The document appendices are individually available.  They can be downloaded and amended or completed for school use. 

Please also note the 2009 amendments below.  Where visits need C&LL approval the completed relevant forms can be e-mailed to the Educational Visits Adviser, standon.bowers@staffordshire.gov.uk

Appendices:

1.   Flowchart indicating the Delegation of Approval of Educational Visits.

2.   Form EV1. Application for the Approval of an Educational Visit. This is the form that all prospective visit leaders should use to apply for school consent to undertake an educational visit or series of visits.

3.   Form EVC1. Checklist for Providers of Activities. This is the form for assessing providers of adventurous activities.

4.   Form EVC2. Checklist for Providers of Residential Accommodation.  This is the form for assessing the safety, security, hygiene and public liability insurance of any accommodation used on a residential visit.

5.   Model Parent Notification Letters and Consent Forms.  This guide to the information that must be supplied to parents can be downloaded and amended.

6.   Form EVM. Medical Form for Pupils Attending Residential Visits.

7.   Form EVAR. Educational Visits Annual Return.  This form is an Excel spreadsheet that should be maintained and returned to the Educational Visits Adviser by e-mail each September recording the visits undertaken in the previous academic year.

8.   County Council Accident Report Form.  Completed forms should be returned to the health and safety section.

9.   Form EVIN. Report of an Incident during an Educational Visit.  Completed forms should be returned to the Educational Visits Adviser.

10.  Volunteer Drivers Declaration. For schools using staff members or parents to transport participants on visits.

11.  Contact Names & Addresses

12.  Model Risk Assessment and Control Measures.  A model proforma offered to record visit risk assessments.

13.  Generic Risk Assessments.  Some examples of risk assessments applicable to visits that may be adopted by schools.

14.  Model School Educational Visits Policy.
