Aims of the team

One of the main aims of the team is maintaining a central pupil database containing over 130,000 records.  This is achieved through receiving regular pupil data updates from schools. 

To be of any use the data has to be:

  • Accurate
  • Complete
  • Up to date

Our other main aim is to support schools in creating pupil data returns, which enable us to make timely and accurate returns to the DfES.

Benefits for schools

  • The central database helps to reduce the administrative burden on schools.
  • Pupil data is collected once (by the Database Team) and used many times (by other departments within the LA, and other services in Staffordshire, e.g. Connexions). This means schools have fewer requests for data, avoiding the duplication of work.
  • Attainment data is held in the database, meaning that the School Effectiveness Unit (SEU) can carry out more detailed and sophisticated analysis of results.

Benefits for the Local Authority

  • The central database is accessible to the following teams within the department:
    • Admissions Team
    • Social Inclusion Unit
    • School Transport
    • Education Inclusion Division (including SEN and Free School Meals)
    • ERA (Education Research and Analysis)
    • Education Planning
  • Using the Database and other pupil data returns, we have provided aggregated numbers to:
    • JFU (Joint Finance Unit) for allocation of school budgets
    • Connexions Agency
    • Education Planning
    • Schools Library Service
    • Early Years

Procedures

  • Schools send data to the team via B2B.  For more information, click here
  • Schools send in Exclusions data 'as it happens'
  • Schools create a census return each term. The January census includes more details about staffing, classes etc in addition to the pupil information which is supplied in every census.
